Terms & Conditions

By registering, accessing, or using Coaching Softwares ("Platform", "Service", "we", "us"), you ("Institute", "User", "you") agree to be bound by these Terms and Conditions ("Terms"). If you do not agree, do not access or use the Platform.

These Terms apply to all users including coaching institute owners, branch administrators, teaching staff, students, and parents accessing the platform in any capacity.

Coaching Softwares reserves the right to modify these Terms at any time. Continued use of the Platform after any changes constitutes acceptance of the revised Terms. We will notify registered users of material changes via email.

Coaching Softwares provides a cloud-based coaching institute management platform with the following core features: Student & Teacher Management (enrollment, profiles, role-based access), Attendance Tracking, Fee Management (online payments via Razorpay, automated fee reminders, payment history), Batch & Subject Management, Tests & Results (test creation, marks entry, ranking), Notes Sharing, Announcements, PTM Scheduling, Salary Management, and a Student/Parent Dashboard.

Optional add-ons available to institutes: Live Online Classes (Jitsi-powered video sessions), Auto ID Card Generation (student & teacher ID cards), and Chatbot Query System (student-teacher Q&A chat). Add-ons are activated or deactivated by the platform admin as part of your plan.

The platform supports multiple roles: Super Admin, Platform Admin, Institute Owner, Branch Admin, Teacher, Student, Parent, and Website Admin. Each role has clearly defined permissions managed from the dashboard.

We reserve the right to add, modify, suspend, or discontinue any feature or add-on at our sole discretion with reasonable prior notice to registered institutes.

To access Coaching Softwares, the Institute Owner or authorized representative must complete registration with accurate, current, and complete information including institute name, contact details, city, state, and PIN code.

You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. You must immediately notify us at info@coachingsoftwares.com of any unauthorized use or security breach.

Each institute gets one primary owner account. Branch admins, teachers, students, and parents are added and managed within the institute dashboard. You are solely responsible for managing role-based access and ensuring appropriate permissions are assigned.

You must not share account credentials with unauthorized parties, allow multiple institutes to use a single account, or create accounts using false or misleading information. Violation may result in immediate termination.

You must be at least 18 years of age to register an institute account. Student and parent sub-accounts may be created by the institute for users of any age, but the institute assumes full responsibility for such accounts.

Coaching Softwares offers the following subscription plans billed monthly: Free (up to 10 students, 2 teachers, 1 branch — always free with no credit card required), Lite at ₹700/month (up to 200 students, 20 teachers, 2 branches), Pro at ₹1,200/month (up to 1,000 students, 80 teachers, 8 branches), and Elite at ₹1,500/month (up to 5,000 students, 300 teachers, 25 branches). Enterprise plans with unlimited limits are available on request via WhatsApp.

Payments are processed securely through Razorpay. By subscribing to a paid plan, you authorize Coaching Softwares to charge your account for the selected plan and duration. All amounts are in Indian Rupees (INR) and are exclusive of applicable taxes (GST).

Subscriptions are activated immediately upon successful payment confirmation. If payment fails or is not completed, the institute remains on the Free plan until payment is received.

Refund Policy: Paid plan subscriptions are non-refundable once the billing period has commenced. If you downgrade or cancel, you retain access to paid features until the end of the current billing period. No pro-rata refunds are issued for partial months.

Disputes regarding billing must be raised within 30 days of the payment date by contacting info@coachingsoftwares.com. We will investigate and respond within 7 working days.

Coaching Softwares reserves the right to change pricing with 30 days prior written notice to registered institutes. Continued use after the notice period constitutes acceptance of new pricing.

All data entered into Coaching Softwares by your institute — including student records, fee data, attendance logs, exam results, and communication records — remains your property at all times. Coaching Softwares acts only as a data processor.

We collect and process personal data of institute staff, students, and parents as necessary to provide our services. This includes names, contact information, academic records, and payment history. Full details are in our Privacy Policy.

Coaching Softwares implements industry-standard security measures including data encryption in transit (TLS 1.2+) and at rest, regular security audits, and role-based access controls to protect your data.

We do not sell, rent, or share your institute's data or student data with third parties for marketing purposes. Data may be shared with trusted service providers (Razorpay for payments, Jitsi for video classes, email providers for notifications) solely for service delivery.

Upon termination of your account, you may request a full data export within 30 days. After 60 days post-termination, your data may be permanently deleted from our servers.

You are responsible for obtaining appropriate consents from students, parents, and staff for data collection in accordance with applicable Indian data protection laws, including the Digital Personal Data Protection Act, 2023.

Coaching Softwares provides fee management infrastructure including online payment collection, manual payment recording, automated fee reminders via email, and payment history tracking. The Platform acts as a technology facilitator and is not a payment service provider or financial institution.

Online fee payments collected through Razorpay integration are subject to Razorpay's terms and payment processing fees (typically 2–3%), which are separate from Coaching Softwares subscription charges and borne by the institute.

All financial transactions processed through the platform must comply with applicable Indian laws. Institutes are responsible for ensuring legal compliance of their fee structures and tax obligations.

Coaching Softwares is not liable for payment failures, gateway downtime, bank holds, or disputes between institutes and their students/parents regarding fee amounts. The platform only provides the collection infrastructure.

Institutes must maintain their own accounting records. Coaching Softwares reports and fee records are for operational convenience and do not constitute official chartered accounting or tax documents.

The Live Online Classes feature is an optional add-on powered by Jitsi Meet technology. It enables institutes to schedule and conduct HD video sessions with host controls directly from the Coaching Softwares dashboard.

Teachers can start sessions, and students can join via a secure link from within the platform. The institute is responsible for scheduling, moderating, and managing access to all online class sessions.

You must not use the live class feature to conduct any illegal activity, share inappropriate content, infringe intellectual property rights, or violate any applicable law. Institutes are responsible for moderating their class sessions.

Coaching Softwares does not guarantee uninterrupted video service as it depends on third-party Jitsi infrastructure and user internet connectivity. We are not liable for service disruptions outside our control.

Coaching Softwares sends automated email notifications for fee reminders (morning and evening schedules), announcements, and platform updates to students, parents, and staff as configured by the institute.

Fee reminder emails are sent automatically to students with pending fees based on scheduled tasks configured in the platform. Institutes can enable or disable this feature from the dashboard.

By using the Platform, institute admins confirm they have obtained necessary consent from students, parents, and staff to receive communications from Coaching Softwares on behalf of the institute.

Coaching Softwares is not responsible for emails going to spam folders, delivery failures due to incorrect email addresses, or ISP filtering. Institutes should verify contact information for all users.

The Auto ID Card Generation feature is an optional add-on that allows institutes to generate student and teacher identity cards using profile data stored in the platform.

Institutes are responsible for the accuracy of information printed on ID cards including names, photos, roll numbers, and institute details. Coaching Softwares is not liable for errors in ID cards arising from incorrect data entry.

ID cards generated through Coaching Softwares are for internal institute use. Any misuse of ID card data or generation of fraudulent identity documents is strictly prohibited and may result in account termination and legal action.

The Chatbot Query System is an optional add-on enabling students to submit questions and teachers to respond within the Coaching Softwares platform, subject-wise.

All chat communications on the platform are subject to review for safety and compliance. Coaching Softwares reserves the right to review flagged conversations to investigate abuse reports.

Prohibited chat content includes: harassment, bullying, hate speech, obscene material, spam, or any content that violates applicable law.

Institutes are responsible for enforcing appropriate communication conduct policies among their staff and students. Report any abuse to info@coachingsoftwares.com.

You agree to use Coaching Softwares only for lawful purposes related to managing your coaching institute. The following activities are strictly prohibited:

• Uploading, transmitting, or storing any content that is illegal, harmful, abusive, defamatory, obscene, or infringes any third-party intellectual property rights.

• Attempting to reverse-engineer, decompile, hack, or gain unauthorized access to any part of the Platform, its underlying systems, or other users' accounts.

• Using automated bots, scrapers, or scripts to access the Platform without express written consent.

• Impersonating Coaching Softwares staff, other institutes, or any individual to deceive users.

• Using the Platform to send unsolicited communications (spam) or engage in phishing activities.

• Sublicensing, reselling, or commercializing access to the Platform without authorization.

Violation of these terms may result in immediate account suspension, termination without refund, and civil or criminal legal action as appropriate.

All rights, title, and interest in Coaching Softwares — including the software, design, user interface, logos, trademarks, and all related technology — are owned by Coaching Softwares and its licensors. Nothing in these Terms transfers any IP rights to you.

You are granted a limited, non-exclusive, non-transferable, revocable license to use the Platform for your internal business operations during the subscription period.

Your institute's data, logos, branding, and content you upload to the Platform remain your intellectual property. You grant Coaching Softwares a limited license to use such content solely to provide the Services.

The Coaching Softwares name, logo, and "Coaching Softwares" mark are trademarks. You may not use them without prior written permission.

Coaching Softwares is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to merchantability, fitness for a particular purpose, or non-infringement.

To the maximum extent permitted by law, Coaching Softwares, its directors, employees, and affiliates shall not be liable for: (a) any indirect, incidental, special, consequential, or punitive damages; (b) loss of data, revenue, or profits; (c) service interruptions or downtime; or (d) unauthorized access to your data.

Our total cumulative liability to you for any claims arising from or related to these Terms or the Service shall not exceed the total fees paid by you to Coaching Softwares in the three (3) months immediately preceding the claim.

Coaching Softwares is not liable for disputes between your institute and students or parents regarding fees, results, attendance, or any educational matter. The Platform is a tool; all institutional decisions remain your responsibility.

You may terminate your Coaching Softwares account at any time by contacting info@coachingsoftwares.com. Termination takes effect at the end of the current billing cycle. No refund is provided for remaining days in the billing period.

Coaching Softwares may suspend or terminate your account immediately and without notice if: (a) you breach any provision of these Terms; (b) payment is overdue by more than 15 days; (c) we suspect fraudulent or illegal activity; or (d) continued operation poses a security or compliance risk.

Upon termination, your access to the Platform and all paid features ceases. You may request a data export within 30 days of termination. After 60 days, all your data may be permanently and irrecoverably deleted.

Any provisions of these Terms that by their nature should survive termination (including billing obligations, IP rights, limitation of liability, and governing law) shall survive.

These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts in India.

Before initiating legal proceedings, both parties agree to attempt to resolve any dispute through good-faith negotiation. Disputes not resolved within 30 days may be referred to arbitration under the Arbitration and Conciliation Act, 1996.

If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

Grievance Officer: In accordance with the Information Technology Act, 2000 and rules thereunder, if you have any grievance with respect to the Platform or service, please write to our Grievance Officer at info@coachingsoftwares.com. We will acknowledge your complaint within 24 hours and resolve it within 30 days.
